Sound Club Privacy Policy

This policy explains what information Sound Club collects, how we use it, who can see it, and the choices you have. It covers the Sound Club website at soundclub.app, the Sound Club iPhone and Android apps, our emails and notifications, and Sound Club sessions. "Sound Club," "we" and "us" mean Sound Club LLC.
The short version:
- Most of what you post in clubs is public. Your email address is never shown to other members.
- Private messages are between you and the other person, but they may be reviewed or scanned to keep Sound Club safe and follow the law.
- We use service providers to run Sound Club, and analytics and advertising tools to understand and grow it. You can opt out of advertising sharing anytime.
- You can delete your account anytime in the app.
1. Information we collect
Information you give us
- Account: your email address and how you sign in (email code, password, Apple or Google). Passwords are stored only in scrambled (hashed) form. With Sign in with Apple we ask only for your email, which may be an Apple private relay address. With Google, the sign-in system receives your email address and may also receive your Google name and profile picture, which the sign-in system stores with your account. Sound Club doesn't show them.
- Profile: username, profile photo, bio, city (optional) and favorite genres.
- Age: your birth month and year (not the day), asked once, so we know you're old enough and can protect members under 18. It's never shown to anyone.
- What you post and do in clubs: posts, replies, edits, reactions, ratings, album poll votes and nominations, album suggestions, your listening list, clubs you start or join, club descriptions and pictures, host intros, and sessions you create (including venue name and address for in-person sessions).
- Private messages: messages you send and receive, reactions, and whether a message was seen.
- Social: who you follow, who follows you, and who you've blocked.
- Sessions: RSVPs, waitlist spots, check-ins at in-person sessions, and which live listening rooms you joined.
- Guests: if you RSVP to an in-person session without an account, we collect your first name, last name and email address.
- Reports and safety: reports you make (what you reported, the reason and any details), reports about you, and records of actions we take (hidden posts, warnings, suspensions, bans and staff notes).
- Messages to us: what you send through Contact Admin or by email, with your account email so we can reply.
- Settings: notification choices (Inbox, push and email for each type, per-club mutes), email preferences including newsletter and weekly digest choices, and your privacy choices.
Information collected automatically
- Device and push: if you allow notifications on your phone, a push token for your device and whether it's iPhone or Android.
- Time zone: read from your device or browser, so dates and reminders show in your local time.
- Activity in Sound Club: when you were last active, which discussions you've read (for "new" badges), and similar records needed for features to work.
- Usage analytics (PostHog): pages and screens you visit, how long visits last, taps on iPhone, and device, browser and app version. When you're signed in, this is linked to your Sound Club account ID, never your email or name. Private messages, posts and the inbox are excluded from tap tracking on iPhone. PostHog may estimate a general location (city or country) from your IP address.
- Advertising measurement (Google Analytics 4, Meta Pixel and Meta Conversions API, Meta app events): pages visited and actions like signing up, which may be linked to cookies, device identifiers, and a scrambled (hashed) form of your email so Meta can match it to a Meta account. You can opt out (see section 4).
- Technical logs: our hosting providers record IP addresses, browser or device type, and times of requests to keep Sound Club secure and working.
What we don't collect
We don't collect your precise location, contacts, photos other than ones you choose to upload, or payment information. Sound Club doesn't use your real name for members (usernames only); only guest RSVPs ask for a name.
2. How we use information
- To run Sound Club: create your account, sign you in, show your clubs, discussions, messages and sessions, and save your settings.
- To send notifications and emails: replies, mentions, new albums, session reminders and changes, waitlist updates, messages, host summaries, the weekly digest, and the newsletter (you can turn these off; see section 7).
- To keep people safe: review reports, enforce our Terms and Community Guidelines, prevent spam and abuse (for example, daily limits and automated filters), and respond to legal requests.
- To understand and improve Sound Club: see which features are used and fix problems.
- To grow Sound Club: measure whether our ads lead to sign-ups, and show Sound Club ads to people likely to enjoy it, unless you opt out.
- To support you: answer questions you send us.
3. Who can see what

Club hosts can also see member activity counts for their club on the Host dashboard.
4. Service providers and other companies
Our service providers use your information only to provide their services to us, except where this policy says otherwise (advertising partners, below).

Links you choose to open. Listen links, "Add to calendar" (Google, Outlook) and map links (Google Maps, Apple Maps) take you to those services, which have their own privacy policies.
Other reasons we may share information:
- With the law: if required by law or a valid legal request, or to protect someone's safety, including reporting content that sexualizes minors to the authorities.
- To protect Sound Club: to enforce our Terms, investigate abuse or fraud, or protect our rights.
- If Sound Club changes hands: if Sound Club is sold, merged or reorganized, information may transfer to the new owner, who must follow this policy or tell you about changes.
- With your permission.
Selling and sharing for advertising
We don't sell your information for money. But we do share some information with Meta and Google to measure our ads and show Sound Club ads to people likely to enjoy it: the pages you visit and actions you take, cookie and device identifiers, your IP address, and (for Meta) a scrambled form of your email address. Some US state laws, including California's, call this "selling" or "sharing" personal information.
You can opt out anytime, whether or not you live in a state with these laws:
- Choose Do Not Sell or Share My Personal Information at the bottom of any page on soundclub.app, or in Account › Privacy in the app. When you're signed in, your choice follows your account on every device.
- We treat a Global Privacy Control (GPC) signal from your browser as a request to opt out.
- After you opt out, we stop sending your information to Meta and Google for advertising. We still use analytics that stay within Sound Club (PostHog) to run and improve the service.
5. How long we keep information
We keep information only as long as we need it.

We may keep information longer when the law requires it or to resolve a dispute or investigation.
6. Deleting your account
How: on the web, Account › Settings › Delete account. On iPhone, Account › Delete account. Type DELETE and confirm. If you can't sign in, email admin@soundclub.app from your account's email address and we'll delete it within 30 days. This page is reachable without the app: soundclub.app/data-deletion.
If you own a club: you'll be asked to make a co-host the owner or delete the club first. Clubs you owned that are already archived stay archived, without an owner.
What's deleted:
- your email address, sign-in and password,
- your profile and profile photo,
- your ratings, RSVPs, club memberships, listening list, poll votes, reactions, follows and blocks,
- your notification settings, Inbox, push tokens, privacy choices and Contact Admin messages,
- your own copy of your private conversations.
What stays:
- Your posts stay in their discussions as "Former member," with no name or photo, so conversations still make sense. If you want a post removed, delete it before deleting your account.
- Your private messages stay in the other person's conversation as "Former member," with no name or photo. Nobody can reply to them.
- Clubs, album picks and sessions you created stay, without your name.
- Reports you made stay, without your name. Moderation records about your account are kept as described in section 5.
- Copies in backups until they expire (up to 30 days), and analytics already collected (linked only to an account ID that no longer exists).
Deleting your account can't be undone.
Guests: to delete a guest RSVP, cancel it from the link in your confirmation email, or email admin@soundclub.app and we'll erase your name and email within 30 days.
7. Your choices
- Profile: edit or remove your photo, bio and city anytime in Account.
- Posts: edit or delete your own posts.
- Notifications: choose Inbox, push and email for each type in Account › Notifications, mute a club, or pause push. You can also turn notifications off in your phone's settings.
- Emails: every newsletter and weekly digest email has a one-click unsubscribe link. We still send emails you need, like sign-in codes and notices about your account (warnings, suspensions).
- Blocking: block anyone to stop seeing each other.
- Advertising and cookies: opt out with Do Not Sell or Share My Personal Information (section 4) or your privacy choices (section 9).
- Ad tracking on iPhone and Android: the apps don't use your phone's advertising ID, so your phone doesn't ask permission to track. Meta's app events (such as sign-up) are sent only when your privacy choices allow it, and you can turn them off in Account › Privacy.
8. Your rights
Whatever state or country you live in, you can ask us to:
- show you a copy of the information we have about you,
- correct it,
- delete it,
- give it to you in a portable format,
- stop selling or sharing it for advertising (section 4).
To make a request, email admin@soundclub.app or use Account › Contact Admin. We may need to confirm it's you, usually by replying from your account's email address. We'll respond within 30 days and won't treat you differently for using your rights.
9. Cookies and similar technologies
We use cookies and similar technologies (like local storage in your browser or app) for:
- Keeping you signed in (needed for Sound Club to work).
- Remembering small preferences, like your recently used emoji and whether you turned on Apple Music play-along.
- Analytics: on the website, PostHog doesn't store anything in your browser for signed-out visitors. When you're signed in, it uses local storage to recognize your visits.
- Advertising measurement: Google Analytics 4 and the Meta Pixel use cookies to measure visits and ad results, and Meta may use them to show ads.
Your privacy choices: choose Your privacy choices at the bottom of any page on soundclub.app to turn off advertising and analytics cookies. Cookies needed to keep you signed in stay on. Opting out of selling and sharing (section 4) also turns off advertising cookies, and we honor Global Privacy Control signals.
10. Security
We protect your information with measures like encrypted connections, scrambled (hashed) passwords, and database rules that let each person read only what they're allowed to. Email addresses and guest emails are never readable by other members. No system is perfectly secure, so we can't guarantee security. If we learn of a breach that affects you, we'll tell you as the law requires.
11. Children and teens
Sound Club is for people 13 and older. We don't knowingly collect information from children under 13. If we learn that a child under 13 has given us information, we'll delete it and close the account. If you think a child under 13 is using Sound Club, email admin@soundclub.app.
Teens (13 to 17): we don't sell or share the information of members we know are under 18 for advertising, and we don't show them targeted ads. We ask everyone for their birth month and year once, and members under 18 are automatically opted out of advertising sharing until they turn 18.
12. Where your information is stored
Sound Club is run from the United States. Our main systems (database, sign-in and files) are hosted in the United States, and our analytics and email providers process information in the United States. If you use Sound Club from outside the US, your information is transferred to and stored in the US, where privacy laws may differ from those where you live. Sound Club is designed for and marketed to people in the United States; it's available elsewhere, but we don't specifically offer it to people in the European Union or the United Kingdom.
13. Changes to this policy
We may update this policy as Sound Club changes. When we make an important change, we'll email you at least 30 days before it takes effect and update the date at the top.
